2. Personal information we collect

Depending on how you use our website, we may collect:

• Contact and enquiry information: your name, email address, telephone number and the information you include in an enquiry.
• Shopify account information: your name, email address, saved addresses and account preferences when you create or use an account in our Shopify store.
• Order information: billing and delivery addresses, contact details, products ordered, order value, payment status, delivery details, refunds and communications about orders placed through Shopify.
• Payment information: payment method, transaction reference and payment status. Full card details are handled by the payment provider displayed at checkout and are not stored by us.
• Technical and usage information: IP address, browser and device information, pages viewed, referring website, approximate location, cookie identifiers and interactions with the website.
• Communications: messages and records of correspondence when you contact us.

3. How we collect your information

We collect information directly from you when you submit a form, contact us, create an account or place an order. We also collect limited technical information automatically through essential cookies and, where you consent, analytics cookies. We may receive transaction confirmations from payment providers and delivery information from fulfilment or courier providers.

4. How and why we use your information

UK data protection law requires us to have a lawful basis for each use of personal information. We use your information to:

• respond to enquiries and discuss a potential vehicle build or purchase, based on your request and our legitimate interests in operating our business;
• create and manage customer accounts and process orders, payments, deliveries, returns and refunds, where necessary to perform our contract with you;
• provide customer support and keep records of our communications, based on our contract with you and our legitimate interests;
• maintain website security, prevent fraud and diagnose technical problems, based on our legitimate interests and legal obligations;
• maintain financial, tax and business records where required by law;
• measure and improve the website using analytics where you have given consent; and
• send marketing messages only where you have consented or where the law otherwise permits them. You can unsubscribe at any time.

5. Shopify, payments and other service providers

We use suppliers that process personal information on our behalf or provide services needed to operate the website. These may include:

• WordPress: provides our main website, content, enquiry forms and configurator pages.
• Shopify: provides our online store, customer accounts, basket, checkout and order-management functions. When you follow a Shop link, Shopify processes information under its own privacy terms and our instructions where applicable.
• Payment providers: the provider identified at checkout securely processes your payment and may carry out fraud-prevention and identity checks. We receive confirmation and transaction information but do not store full card details.
• Google Analytics and MonsterInsights: help us understand website use and performance. Analytics cookies are used only after consent where consent is required.
• Website hosting, email and IT providers: store website information, deliver messages and support the security and operation of our systems.
• Delivery, professional and regulatory services: couriers, accountants, insurers, legal advisers, fraud-prevention services and public authorities where needed to complete an order, obtain advice or comply with the law.

Some providers act as independent data controllers and apply their own privacy policies. We require service providers acting on our behalf to protect personal information and use it only for the agreed purpose.

6. Cookies and analytics

Our website uses essential cookies needed for functions such as security, remembering basket contents, checkout and account access. With your permission, it may also use analytics cookies to understand how visitors use the website.

You can accept, reject or change optional cookie choices using the cookie controls on the website. You can also restrict cookies through your browser, although some website functions may then stop working correctly. More information about individual cookies is available in our cookie policy or cookie-settings panel.

7. Sharing your information

We do not sell personal information. We share it only where necessary with the service providers described above, with another party involved in a business sale or restructuring subject to suitable safeguards, or where required to establish or defend legal rights, prevent fraud, protect safety or comply with the law.

8. International transfers

Some technology providers may process information outside the United Kingdom. Where this happens, we use safeguards recognised by UK data protection law, such as UK adequacy regulations or approved contractual protections. You may contact us for more information about safeguards relevant to your information.

9. How long we keep information

We keep personal information only for as long as needed for the purpose for which it was collected and to meet legal, accounting and reporting obligations. In general:

• enquiries are normally kept for up to 24 months after the last meaningful contact, unless they lead to an order or continuing relationship;
• account information is kept while the account remains active and for a reasonable period afterwards;
• order, payment and tax records are normally kept for up to seven years after the relevant financial year; and
• analytics information is retained according to the settings used in our analytics service.

We may keep information for longer where a dispute, legal claim, warranty issue or legal obligation requires it.

10. Security

We use appropriate organisational and technical measures designed to protect personal information against loss, misuse, unauthorised access, alteration or disclosure. No internet service is completely secure, but we review access and security measures and limit personal information to people and providers that need it.

11. Your data protection rights

Depending on the circumstances, UK data protection law gives you the right to:

• ask for a copy of your personal information;
• have inaccurate or incomplete information corrected;
• ask us to delete your information;
• ask us to restrict how we use your information;
• object to processing based on legitimate interests or to direct marketing;
• receive certain information in a portable format;
• withdraw consent at any time, without affecting earlier lawful processing; and
• ask for human review of a significant decision made solely by automated means, if applicable.

These rights can be subject to legal limitations. To exercise a right, email sales@adventure-ready.co.uk. We may need to verify your identity and will normally respond within one month.

12. Complaints

Please contact us first so we can try to resolve your concern. You also have the right to complain to the UK Information Commissioner’s Office (ICO). Visit ico.org.uk/make-a-complaint for current contact details and guidance.

13. Children

Our website and products are not directed at children, and we do not knowingly collect personal information from children. If you believe a child has provided information to us, please contact us so we can investigate and delete it where appropriate.

14. Links and embedded content

Our website may link to or embed content from other websites. Those organisations control their own privacy practices, and we recommend reading their privacy information before providing personal information.

15. Changes to this policy

We may update this policy when our services, suppliers or legal obligations change. The latest version will be published on this page with a revised “last updated” date. Where a change materially affects how we use personal information, we will provide additional notice where appropriate.
